We have written this policy in plain language because we believe you deserve to understand how your data is used, not just have access to a document that satisfies a legal requirement. If anything here is unclear, please write to us and we will explain it.

Karmic Ventures LLC is a company registered in the state of Wyoming, United States. We operate the website at karmicparents.com and the services described on it.

When this policy refers to "Karmic Parents", "we", "us", or "our", it means Karmic Ventures LLC.

When this policy refers to "you", it means any person who uses our website or services — including companions (people who join our platform as members), visitors to our website, and recipients of our Nurture Pack service.

For the purposes of the UK and EU General Data Protection Regulation (GDPR), Karmic Ventures LLC is the data controller for the personal data we collect about you.

What data we collect and why

When you visit our website

We collect standard technical information that your browser sends automatically when you visit any website. This includes your IP address, browser type, operating system, the pages you visit, and how long you spend on them. We use this to understand how people use our website so we can improve it. We do not use this information to identify you personally.

When you apply to become a companion

Our letter form collects the following information from you:

We use this information to evaluate whether you are suitable to become a companion on our platform, to begin our vetting and matching process, and to communicate with you about your application.

When you become a verified companion

To complete the vetting process we require:

We use this information solely for the purpose of child safeguarding. We do not use it for marketing, profiling, or any other purpose.

When you use the Inner Room platform

We store the content you create within the platform — Pages diary entries, Plan submissions, journal records, and Reflect responses. This content belongs to you. We store it to provide the service you subscribed to and to maintain the continuity of your journey record.

When you make a payment

We do not store your payment card details. All payment processing is handled by our payment processors (Stripe and Paddle) who store your payment information under their own privacy policies. We receive confirmation of payment and your subscription status but never your full card number or security code.

When you send a Nurture Pack

We collect your name, email address, your recipient's name and email address, and the personal message you provide. We use this information solely to produce and deliver your Nurture Pack. We do not add recipients to any marketing list without their explicit consent.

When you contact us

We store records of communications between you and Karmic Parents for the purpose of providing support and maintaining our service records.

Section 04

Data about children

This section is the most important in this policy. We take the privacy and safety of children with the utmost seriousness.

Karmic Parents does not collect personal data directly from children. All information about children in our partner families is provided by their parents or legal guardians. Children do not interact with our platform directly and do not have accounts.

We collect limited information about children in partner families — specifically their first name, age, country of residence, and general welfare information provided by their parents. We use this information solely to facilitate the companion relationship and to monitor the welfare of children in our programme.

We do not share a child's personal information with a companion beyond their first name and general age range. A child's full name, location details, school, and family circumstances are never shared with companions.

Photographs and video content involving children are only collected and shared with the explicit written consent of the child's parent or legal guardian for each specific piece of content. All such consent is documented and retained.

When a child in our programme reaches the age of 18, they become an adult user of the platform if they choose to engage directly. At that point they are subject to this privacy policy in their own right and their consent is required for any continued data processing.

How we share your data

With family partners

If you are matched with a family, we share your first name, your letter responses, and the communications you send through the platform with the matched family. We do not share your full name, contact details, financial information, or background check results with families.

With service providers

We use a small number of third-party service providers to operate our platform. Each is bound by data processing agreements that restrict their use of your data to the specific service they provide:

With local partner organisations

In each country where we operate, we work with trusted local community organisations who conduct family welfare visits and family verification. We share limited family information with these partners — specifically the information needed to identify and visit the families in our programme. These partners are bound by confidentiality agreements and child protection obligations.

When required by law

We will disclose personal data when required to do so by law, court order, or lawful request from a government or regulatory authority. We will notify you of any such disclosure unless we are legally prohibited from doing so.

Child protection reporting

If we become aware of information suggesting that a child in our programme is at risk of harm, we will report this to the relevant child protection authorities in the child's country of residence regardless of any other consideration. Child safety takes precedence over all other obligations including confidentiality.

Karmic Parents operates internationally by its nature. Your data may be transferred to and stored in countries outside your country of residence, including countries that may not have the same data protection standards as your home country.

You have the right to receive your data in a commonly used machine-readable format to transfer to another service where technically feasible.

We do not make automated decisions about you that have significant legal or similar effects. Our matching and vetting process involves human review at every stage.

If you are in the EU or UK and you believe we have not handled your data correctly, you have the right to lodge a complaint with your local data protection authority.

California residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act including the right to know what personal information we collect, the right to delete personal information, the right to opt out of the sale of personal information (we do not sell personal information), and the right to non-discrimination for exercising these rights. When we make material changes we will notify active companions by email at least 30 days before the changes take effect. We will also update the "Last updated" date at the top of this policy.

Your continued use of our platform after the effective date of any changes constitutes your acceptance of the updated policy.
